3. PRIVACY POLICY (GDPR / AVG)
Nathalie Douxfils is the data controller for your personal data and complies with the European General Data
Protection Regulation (GDPR - Regulation EU 2016/679) and Belgian privacy legislation.
a) What personal data do we process?
• Contact and Identification Data: Name, email address, phone number, and address (when you fill in a
contact form, book an appointment online, email, or start a program).
• Billing Data: Company name, VAT number, and address details for issuing invoices.
• Coaching Notes: Information that you confidentially share yourself within the scope of a coaching
program.
b) On what legal basis and for what purposes?
• Performance of a Contract: To process your request, schedule coaching sessions, provide guidance, and
handle administration, invoicing, or follow-up of coaching sessions.
• Legitimate Interest: To respond to inquiries submitted via the contact form and to improve our services.
• Consent: For sending newsletters or updates (if you explicitly subscribed) and for making audio
recordings for supervision/mentoring purposes (strictly with written consent). You may withdraw your
consent at any time.
c) Security and Data Processors
• Paper Notes: Any physical notes taken during sessions are stored securely under lock and key.
• Digital Data and Audio Recordings: Documents, scans, and audio recordings are stored and shared via
secure professional cloud systems (Google Workspace and Dropbox). These systems are secured with
strictly personal access control and two-factor authentication (2FA). Necessary data processing agreements
and security measures have been established with these processors (including safeguards for transfers
outside the EEA).
d) Retention Periods
Personal data is retained no longer than necessary for the purpose for which it was collected:
• Administrative documents, invoices, contact details, and coaching notes: maximum 7 years after
completion of guidance or the last invoice date (in accordance with statutory retention requirements for
accounting documents and to substantiate services rendered).
• Audio recordings of sessions: audio recordings (made with written consent) are stored via Dropbox and
permanently deleted within a maximum of 1 year after the recording is made.
e) Your Rights
You have the right at all times to:
• Request access to the personal data we hold about you.
• Request correction or erasure ('right to be forgotten') of your data.
• Object to specific processing or request restriction of processing.
• Withdraw your consent for processing.
To exercise your rights, please send a written request to info@nathaliedouxfils.com. To prevent abuse, we may
ask for appropriate proof of identity in case of reasonable doubt.
If you believe your data is not being processed correctly, please contact us first. You also have the right to
lodge a complaint with the Belgian Data Protection Authority (GBA): Data Protection Authority, Drukpersstraat
